If shoppers can’t find a product, it won’t sell. Here’s a five-step checklist to find the gaps in your product data before Black Friday.

At a glance

Shopify won’t warn you when a product goes live with missing data. A product with no image, description, category or colour still looks fine in your admin, but shoppers who search, filter or browse may never see it. However good the offer, a product shoppers can’t find won’t sell.

You don’t need a full catalogue clean-up before Black Friday. Export your products and sort for blanks, check your newest range for missing sizes and colours, test your storefront filters, and look for drafts in your admin. Clearer’s Catalog Agent can find the one gap your export can’t show you: products that sit in no collection.

‍

A shopper filters your new range by colour and gets three results. Your floral dress isn’t one of them. It’s in the collection, it’s in stock and it’s priced for the sale, but nobody on your team added its colour, so the filter skips it. Nothing in your admin flags it, and you’d only notice weeks later, when it hasn’t sold.

Black Friday only increases that gap with every shopper who filters, searches or browses, so it’s critical to go and look for missing product data before the traffic arrives.

Before you start: export your products

Why export a spreadsheet when Shopify’s admin search exists? Because admin search can’t look for gaps. Shopify’s own help page says their admin search and filters “don’t support searching for products that are missing a specific attribute”. So there’s no way to search your admin for every product without an image or colour. A spreadsheet shows you every blank at once, with every empty cell representing a missing detail.

To export your products, go to your Products page, click Export, choose All products and export as a CSV. Open the file in Google Sheets or Excel.

One product can take up several rows in your export. Each color, size or extra image gets its own row, so for example a dress in four sizes fills at least four. Only the top row for each product holds details like the description, type and tags. The rows below it leave those columns empty on purpose. So when you sort for blanks in product details, first filter the Title column to hide empty cells. That leaves one row per product, and every blank you see is a real gap.

In your spreadsheet

1. Sort your export for the blanks

What you’re looking for: products missing copy, images or the details shoppers and search engines use to find them.

Filter each column below for empty cells. Shopify has renamed some columns over time, so if you can’t find one, look for its older name in brackets.

Column	A blank means
Description (Body (HTML))	No product copy
Product image URL (or Image Src)	No image
Image alt text	An image with no description for screen readers or image search
Product category	The product is not in Shopify's standard category
Type	No product type
Tags	No tags
SKU / Barcodes (or Variant SKU / Variant Barcode)	Hard to track stock or list elsewhere
SEO title / SEO description	Search engines will write their own title and snippet for the product

Each highlighted cell in this demo store example is a product missing something.

2. Check your newest range is complete

What you’re looking for: products in the same range with missing sizes or colours.

Filter your spreadsheet for your new range by its Type, Vendor or Tags. Then look at the rows for each product.

Every size or colour a product comes in will get its own row. Two columns tell you what they are. Option1 name says what the option is, for example Size. Option1 value says which one (in this example, Size) that row is, like Small. If you also sell by color of material, those would show up in Option2 and Option3 columns.

Handle	Option1 name	Option1 value
Floral-wrap-midi-dress	Size	Small
Floral-wrap-midi-dress	Size	Medium
Floral-wrap-midi-dress	Size	Large
Striped-shirt-dress	Size	Small
Striped-shirt-dress	Size	Medium

Products in the same range usually come in the same sizes. Here, the striped dress is missing size Large. Is that deliberate, or is data missing?

On your storefront

3. Shop your colour and size filters like a customer

What you’re looking for: products that disappear when a shopper filters. Skip this check if your store doesn’t use filters.

Open the collection a new range sits in and click through the colour and size filters. Do the new products show up?

Shopify builds your storefront filters from your product data. Color and size filters use the options set on each product, like Color and Size, and other filters use details like Category, Product type, Tags and Vendor. If a product is missing the detail a filter looks for, it has nothing to match. This means the product drops out of the results, and shoppers who use that filter never see it.

Before: no filter is applied and 40 products are listed on the page, with the Floral Wrap Midi Dress in the first row.

After: A Color: Pattern filter is applied, and now only 3 of the 40 products show. The Floral Wrap Midi Dress is gone. Nobody added a colour to its product details, so a shopper who filters by pattern never sees it.

In your Shopify admin

4. Find products that never went live

What you’re looking for: products that exist but aren’t on sale.

Back in your Shopify admin, open your Products list. Filter by Status and choose Draft. The products that appear here exist but aren’t on sale. Next, clear that filter and filter by Sales channel instead, to find products that aren’t available on your online store.

Publish any products in either of these lists that should be selling in your Black Friday sale. Then save each filter as a view. Shopify keeps saved views up to date, so your next check is only one click away.

5. Find products that sit in no collection

What you’re looking for: products shoppers can’t reach by browsing.

This one’s easy to miss. A product in no collection is like stock left in the back room: it’s in your store, but nobody browsing your collections will walk past it. Your export won’t flag it either. Shopify leaves the Collection column out, so there’s no blank to sort for, and on your own you’d be opening products one at a time.

Clearer’s Catalog Agent can find them for you. It scans your products, gives your product data a health score and lists what’s broken, product by product. Products sitting outside a collection are also on that list.

You approve or skip each fix. Nothing changes without your yes, and only the fixes you approve sync to your Shopify store.

The Catalog Agent flags every product that isn’t in a collection.

Keep checking through peak

An exported spreadsheet only shows a snapshot of your catalog at that precise moment. Each new batch of products can go live with the same gaps you’ve just fixed, like a missing colour, an empty description or a product left in draft. Since new items are typically added to your store right up until Black Friday, we recommend picking a day to run the checks every week. A Monday is a good slot for this.
